108 Canada Tour General Information

PARTNER ADVANCE FORM

Please fill out the Wanderlust 108 Partner Advance Form here to submit your onsite needs and specific requests no later than May 15, 2015.

*Note: You will need to bring your own 100’ extension cord and power strip if you would like access to basic electricity. If you have arranged for a tent on site, it will come equipped with tent walls and weights. If you are bringing your own custom tent, you are also responsible for providing tent walls and weights.

Shipments

Please note that because the event is held at a city location, no shipments can be accepted in advance. Everything must be loaded in the morning of the event (or the evening before if you have advanced this).

ADVANCE YOUR LOAD-IN

Due to vehicle capacities, exact arrival time must be advanced with the event Sponsor. Operations Manager. Contact Information will be sent to you prior to May 15.

COLD STORAGE

Wanderlust will not provide any cold storage on-site. If your items require refrigeration, please arrange to bring our own refrigerator or cooler or reefer trucks. Reefer trucks must be advanced with your load-in.

GREENING GUIDELINES

Using compostable products is mandatory at all Wanderlust Events. In order to comply with these greening initiatives, styrofoam and plastic food service ware is not permitted. Approved items include paper cups and plates that are compostable, and other items found here. We appreciate your support in our recycling and composting program!

Please break down your cardboard AND separate your recyclables from your trash at your booth. If you need any bags ask a custodial or green team member. Clear or white bags are for recycling, and black bags are for trash. Let us know if you have any needs requiring extra bins or service. Please DO NOT Leave anything behind. This includes weights for your tents, such as cinder blocks, carpets and other décor.

We do not guarantee internet reception. Please bring your own hotspot if you require streaming or if internet is necessary for purchases, etc.

WEATHER

Wanderlust 108 will happen rain or shine. That means that in the event of rain, we might slightly adjust the schedule, but please be prepared for any type of weather. Your tent will have 3 walls that can be utilized in the event of rain/shine, but we recommend bringing a tarp(s) for extra coverage of your products.

Vendors can pull directly into the vendor load in area off 9 Ave SE (the south/east end of the Fort).  LOAD-IN MUST OCCUR THE NIGHT BEFORE THE EVENT.  LIMITED MORNING OF LOAD-IN TIMES ARE AVAILABLE.  All vehicles must be clear of this area by 8:30 AM. Exact vehicle arrival times must be advanced with your Wanderlust On Site Vendor Coordinator. There are public parking lots off 7th and 8th Avenue. There is no parking available on site.

Wanderlust requires that each Exhibitor shall maintain a valid liability insurance policy with a minimum coverage of $2,000,000 for each occurrence naming 2450936 Ontario Inc. (along with other entities listed below) as an “additional insured”.

Minimum coverage of $2,000,000 for each occurrence
No General Aggregate
Personal and Advertising Injury
Hired & Non-Owned Auto Liability
Tenants Legal Liability Limit $2,000,000
Medical Expenses for an injured 3rd party $10,000

We will need a COI on file by May 15. Please name 2450936 Ontario Inc as the certificate holder and list the following as additionally insured:

  • The City of Calgary
  • Fort Calgary

The vehicle ferry “ONEIDA” has very limited capacity, and each direction runs 15 minutes. You have two options for loading on and off to Olympic Island via ferry. LOAD-IN MUST OCCUR THE DAY BEFORE THE EVENT. LOAD OUT WILL OCCUR AFTER 6:00 PM ON EVENT DAY, PLEASE BE PATIENT AS THERE IS ONLY ONE VEHICLE FERRY. All partners must be on site and set up by 9:00AM on event day for inspection. Transport to Olympic Island on event day will be via regular Toronto Island passenger ferry service to Centre Island. Partners are responsible for the passenger ticket fees for staff as charged by the Ferry Docks.

Option 1 – Partner Vehicle Travels to Island

A partner may transport their vehicle to this island by vehicle ferry.

Exact vehicle arrival times for the ferry will be advanced with Victoria Pfeifer (victoriapfeifer@gmail.com). Once on the island, vehicles will be marshaled from the arrival dock to the event site. Vehicles must NOT drive on the island without a marshal.

Once on the Island, parking will be made available at no charge on the event site. Transport back to the Ferry terminal on the passenger ferry is at no additional charge.

Once a booth is packed up, after 6:00PM on event day, vehicles will be marshaled to the Island Ferry dock in groups for transport back to the Queen’s Quay Ferry Terminal. The vendor coordinator on site will direct vehicles accordingly. Make/Model of Vehicle, License Plate and Driver Name must be submitted to Victoria no later than June 10th.

Option 2 – Partner Goods/Supplies Travel to Island on Wanderlust Truck

A partner may cross-load their goods on to a Wanderlust truck near the Ferry Docks for transport to the Island. Exact arrival and loading times will be advanced with Victoria Pfeifer (victoriapfeifer@gmail.com). The partner staff will then take the Toronto Island passenger ferry service to Centre Island for set up of their booth. Partners are responsible for the passenger ticket fees for staff as charged by the Ferry Docks. Paid parking is available near the loading zone in the lot nearby on a first come first served basis.

Once a booth is packed up, after 6:00PM, the partner will re-load their goods into the Wanderlust truck for transport back to the Ferry Docks. The vendor coordinator will coordinate the packing of the truck and marshal to the Island Ferry Dock accordingly.

Wanderlust is not responsible for damages to goods as part of the cross-load and transportation.
